Privacy Policy

The short version

We collect as little as we can. This website sets no tracking cookies and runs no analytics. If you write to us, we keep your message so we can reply and remember you. If you register for a gathering, we hold what you give us for as long as it takes to run that gathering and keep our books straight, and no longer. We never sell or share your details for marketing. You can ask us what we hold about you, or ask us to delete it, at any time.

1. Who we are

Kindred Faeries is run by Vereniging Kindred Faeries, Amsterdam (KVK 42167992), a member-run, non-commercial association under Dutch law. We are the data controller for personal data processed through this website and for the gatherings we organise. You can reach us through our contact form.

2. What we collect, and why

Visiting the site

This is a static website. When you load a page, the servers that serve it see your IP address, the page you asked for, the time, and basic details about your browser. That is what the internet needs to deliver the page to you. These technical logs are used only to keep the site running and secure (our legitimate interest), and are deleted automatically after a short period, at most 30 days.

Fonts are served from our own font server (fonts.junovy.com), not from Google or another third party, so loading the page does not send your visit to anyone else.

Cookies and local storage

We set one entry in your browser's local storage, site_cookie_consent, to remember whether you accepted or declined optional cookies. That's it. We do not currently run analytics, marketing pixels or chat widgets. If we ever add an optional tool, it will only load after you say yes in the cookie preferences, and we'll list it in the Cookie Declaration first.

Writing to us

When you use the contact form or email us, we receive your name, your email address, what brought you to the circle, and whatever you write. We use it to reply to you and, if you're joining or helping, to keep in touch. The legal basis is your consent (the tick box under the form) and, once we're talking, our shared interest in the conversation. Our email runs on Zoho Mail, hosted in the European Union.

We keep correspondence for as long as the conversation is relevant, and we delete it if you ask. A message about joining a gathering may be kept until that gathering has happened; a hello from someone we then never hear from again is deleted within a year.

Registering for a gathering

Registrations happen on YooHoo Social, a platform built by us and hosted by Junovy, and contributions are collected through a bank and a payment provider. Each of those has its own privacy notice for what happens on their side; this section is about what we, as organisers, do with what you tell us.

A registration usually includes your name, faerie name if you use one, email, phone number, where you're travelling from, and the practical things we ask so we can look after you: dietary needs, access needs, whether you need a lift or a lift-share, and anything you choose to tell us about what would help you feel safe. Some of that is sensitive by nature. We ask for it only so we can care for you at the gathering, we share it only with the facilitators and kitchen who need it, and we treat it with the care it deserves. The legal basis is the agreement you enter into when you register, and for the sensitive parts, your explicit consent, which you can withdraw by asking us to remove them.

After the gathering we delete the sensitive details (health, access and safety notes) within three months. Names, contact details and what you paid stay in our records for the seven years Dutch tax law requires us to keep financial administration, after which they are deleted.

FaeTech: YooHoo Social and Fae Social

Both platforms have their own privacy centres, at yoohoo.social/privacy-center and fae.social/privacy-center. Both are hosted by Junovy, on the same EU infrastructure as this site. If you have an account on Fae Social or use YooHoo Social beyond registering for our gatherings, those documents apply, not this one.

Photos

Photos of gatherings appear on this site only with the permission of the faeries in them. If you are in a photo and change your mind, tell us and we will take it down.

3. Who else sees your data

We don't sell, rent or trade personal data, and we don't share it for marketing. The people and services that handle it on our behalf are:

• Junovy Cloud, which hosts this website, YooHoo Social, Fae Social and our forms, on servers in the European Union (Germany). Its own privacy centre is at junovy.com/privacy-center.
• Zoho Mail (EU region), which handles our email.
• Our bank and a payment provider, for contributions.
• The facilitators of a gathering you register for, who see what they need to look after you.

We'll hand over data to a public authority only if the law obliges us to. We don't transfer personal data outside the European Economic Area.

4. How long we keep things

• Server logs: at most 30 days.
• Your cookie choice: in your own browser, until you clear it.
• Correspondence: while the conversation is relevant; at most a year if it goes quiet.
• Gathering registrations: sensitive details deleted within three months of the gathering; names, contact details and payment records kept seven years for the tax administration.

5. Your rights

Under the GDPR you can ask us for a copy of the data we hold about you, ask us to correct or delete it, restrict or object to how we use it, take it with you in a usable format, and withdraw any consent you gave. Just send us a message through the contact form; we'll answer within a month. The full list is on Your Rights. If you feel we've handled your data badly, you can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, though we'd love the chance to put it right first.

6. Children

Our gatherings and this site are for adults. We don't knowingly collect data from anyone under 18.

7. Changes to this policy

If we change how we handle personal data, we'll update this page and the date at the top. For anything significant, we'll tell the community directly too.
